Contract Schedule Page Data Entry

Use schedule pages to enter scheduling criteria for spots. Each time you enter a new page, the spots schedule on active logs.  When necessary, Summit reorganizes spots based on placement priorities, etc.  This reorganization process takes a few seconds to a few minutes, depending on the number of spots, the dates involved and the number of active logs extended. To maintain database integrity, many fields cannot be changed once spots have aired for a given page. These fields are grayed out on the form.

Field Descriptions

Valid From: autofills from header page, change as needed.

Valid Thru: autofills from header page, change as needed.

Length: autofills from Schedule Page Defaults, change as needed.

Priority: autofills from Schedule Page Defaults, change as needed. Valid priorities are 1-9 and A-Z.  One (1) the highest numeric level; Nine (9) the lowest.  A is the highest letter level, but below a 9; Z the lowest priority of all.  Spots assigned  F-Z priorities do not go to makegoods pending file if they are bumped.  Note: you can also set up implicit priorities based on rate and/or schedule span.  Implicit priorities will cause the system to take either or both of these factors into account (rate/schedule span) when trying to schedule two spots with the same priority. (see scheduling rules).

Rate: Spots can be billed with a spot rate, package rate or miscellaneous billing page.  To use a spot rate, enter the gross rate per spot for this page.  If this page is a multi-station buy, you may want to use the combine rate for all channels option or the multiple channel rate option. The total value of the spots ordered on this page will display at the bottom of the form.  You should verify this amount matches the sales order before leaving the page.

Product Separation: This field is an optional additional spot separator.  You can use this field to separate spots by an additional industry separator or product separator (entered in Industry Data Entry).  The system will not schedule these spots closer than the specified separation time to the same industry or product.

Schedule By: Select times to schedule spots on this page, either specified times, within a daypart, or within a program..

bulletRun Times: enter the time span or exact time in which spots from this schedule page should schedule.  This field recognizes a variety of run time formats.  For example, a spot that must schedule between 6 and 10 o’clock in the morning could be entered 6:00-10:00a or 6a - 10a.  The system recognizes both upper and lower case time parameters.  12a is defined by Summit as the beginning of a day; 12m is midnight.  If a contract schedule page extends past midnight and you want the extension to be considered part of the previous day, use x or X (1:05x).
bulletDaypart: spots assigned a daypart will schedule within the range of times defined on that daypart record.
bulletProgram: If you assign a program to this schedule page, spots will schedule within the time the program runs.  If the program moves, the spots will move to the new time.

Schedule Qty: enter the number of spots to run for this page, either by day, or by week, or for the entire page.

bulletper Day: Enter the number of spots you want to schedule in the box for the appropriate day. Repeats each week or partial week of the flight.
bulletper Week: Enter the number of spots to schedule for each week in the top box to the right.  After completing this field, check the boxes for the valid days the spots can run.  The system will place them in a pattern for the best rotation possible.
bulletper Page: Enter the number of spots to schedule between the from and thru dates on this page in the top box on the right.  After completing this field, check the boxes for the valid days the spots can run.  The system will place them in a pattern for the best rotation possible.

Media Inventory: If you use Media Inventory, enter the Media Inventory record defining these spots.

Description: Enter the description for this schedule page.  This field may be left blank if using copy.   This description can print on the log and/or invoices depending on how they are formatted.

Copy: If you are using Copy Data Entry to rotate copy for these spots, you can enter it here, or attach it from within after the copy order is entered.

Media ID: Enter the unique ID for this page. This field may be left blank if using copy. The ID prints on logs, invoices, and reports. It is also written to automation interface files and used in automatic verification from automation systems.

Agency Description: Enter the description for this schedule page.  This field may be left blank if using copy.   This description can print on the log and/or invoices depending on how they are formatted.

Channel: Select the channel or group for this page. If specifying a group, make sure the group consists only of discrete channels, not other groups. If a group is specified, spots will run on each channel of that group at any time meeting the given criteria. If spots must run the same time (i.e. in the same break) on each specified channel, check the "same time all channels" box on the additional tab. If this ia a group, you may want to use the combine rate for all channels option or the multiple channel rate option.

Quick Schedule: Press to take this page off hold and schedule these spots into any available breaks according to the criteria specified. No attempt will be made to preempt spots already in the schedule. This is a quicker method of scheduling and is useful for low priority spots that would not likely preempt other spots, or for last minute orders when you know there is room available.

Full Schedule: Press to take this page off hold and schedule these spots, pre-empting and rescheduling other spots as possible.

On Hold: displayed when this page is on hold. No spots for this page are scheduled.
